Creating an inbox rule for Exchange in Outlook Web App

If you have recently decided to use gmail for your UCSD email, you may still need to do a few things. Google Apps for Education tools provided by UCSD is a great way to access your email. However, if other UCSD staff/students/faculty are still using Exchange, and they send you an email, it will go directly to your Exchange inbox. To modify this, you will want to setup an inbox rule in OWA or Outlook Web App. Please see the steps below for instructions on how to do this.

Step-by-step guide

 

  1. It is recommended that you use the firefox web browser for this process(Chrome does not work well with OWA). Please navigate to https://mail.ucsd.edu

  2. Enter your username and password and press "Sign In"

  3. From the upper-right corner click on the "options" pull-down menu, and select "Create an Inbox Rule".

  4. Click the "New" pull down menu(as seen next to the red arrow), and select "Create a new rule for arriving messages"

  5. A window named "New Inbox Rule" should pop up. Select the pull-down menu labelled "* When the message arrives, and:"

  6. Select "[Apply to all messages]".

  7. Press the pull-down menu under "Do the Following:", and select "Redirect the message to:"

  8. A window titled "Address Book" will popup(if not, check what browser you are using, and make sure you don't have a popup blocker enabled). In the bottom of the window in the "To->" field type username@gcloud.ucsd.edu , where username is your specific email username.

  9. If everything looks as it should, press the "Save" button.

  10. OWA will ask "Do you want this rule to apply to all future messages?". Press "Yes".

  11. Verify that the rule is on, by looking for a checkmark(see red arrow), and also verify that the rule looks correct. In this case the rule should apply to all messages, and redirect the message to "username@gcloud.ucsd.edu"(see red box).

  12. Your inbox rule should now be working and forwarding your Exchange messages to your new ucsd.edu gmail account.
